Job Purpose and Role The Virtual Assistant Representative is responsible for providing remote administrative and front-desk support to medical practices. This role serves as a key point of contact for patients and healthcare providers by managing calls, scheduling appointments, verifying insurance coverage, maintaining accurate patient records, and supporting day-to-day practice operations.
Key Responsibilities • Manage inbound and outbound patient calls in a professional and courteous manner. • Schedule, confirm, reschedule, and cancel patient appointments as needed. • Verify patient insurance eligibility, benefits, and coverage details. • Process and follow up on prior authorization requests with insurance carriers. • Enter and maintain accurate patient information within the Electronic Medical Records (EMR) system. • Assist with patient collections, including discussing balances and processing payments when applicable. • Respond to patient inquiries and provide timely support regarding appointments, billing, and general practice information. • Maintain confidentiality and comply with HIPAA and other healthcare privacy regulations. • Document patient interactions and update records accurately and promptly. • Coordinate with healthcare providers and practice staff to ensure seamless patient care and workflow. • Meet productivity, quality, and customer service standards established by the company and client practices. • Perform administrative and other clerical tasks as instructed by Supervisor to support daily practice operations.
Qualifications • Associate's or bachelor's degree in any related field • Previous experience in a healthcare, medical office, customer service, call center, or virtual assistant role preferred. • Experience working with Electronic Medical Records (EMR/EHR) systems is an advantage. • Knowledge of medical terminology, insurance verification, and prior authorization processes is preferred. • Strong verbal and written English and Spanish communication skills. • Excellent customer service and patient interaction skills. • Strong attention to detail and organizational abilities. • Ability to multitask and manage competing priorities in a fast-paced environment. • Proficiency with Microsoft Office, Google Workspace, and web-based applications. • Ability to work independently in a remote environment while maintaining productivity and accountability. • Reliable high-speed internet connection and a professional home office setup.
